Using Smart Scan for Automatic Gallery Descriptions and Tags

The Smart Scan beta is currently available to ProSuite subscribers only.

 

As photographers, we understand that incorporating descriptions and keywords (tags) into our galleries and images enhances the likelihood of potential clients discovering our work. Nonetheless, this process can be labor-intensive, particularly following an extensive shoot. Zenfolio's Smart Scan feature leverages AI to facilitate a more efficient workflow.

 

What is Smart Scan?

Smart Scan is an advanced tool integrated within Zenfolio that evaluates the images you upload. Based on this evaluation, it will automatically:

  1. Identify the Shoot Type (e.g., Portraits, Weddings, Landscapes) for your gallery based on the images, thereby eliminating the need for manual selection.
  2. Generates a Gallery Name and Description: A concise paragraph summarizing the content of your gallery.
  3. Recommends Gallery Tags: Keywords pertinent to the overarching theme of the gallery.
  4. Suggests Image Tags: Specific keywords for individual images within the gallery.

These automatically identified Shoot Types and generated descriptions/tags can substantially enhance the organization and visibility of your gallery in search results (both within your Zenfolio site and potentially on external search engines, depending on your Gallery's search settings), thereby giving you back valuable time.

 

 

Enabling or Disabling Smart Scan

You have complete control over whether Smart Scan will automatically generate descriptions and tags for your uploads.

  1. Log into your Zenfolio account and click on your name located in the top right corner.
  2. Select the Account Settings option from the dropdown menu.
  3. Within the Account Settings menu, scroll to or select the Smart Scan Settings option.
  4. Toggle the Smart Scan switch to enable or disable the automatic generation of descriptions and tags.
  • If ON: By default, Smart Scan will automatically analyze your uploaded images to generate suggested gallery descriptions and tags for new galleries that you upload.
  • If OFF: By default, Smart Scan will not automatically generate gallery descriptions or tags when you upload new galleries.

Note: The Gallery's Shoot Type detection will occur automatically, regardless of the Smart Scan setting.

 

Disabling Smart Scan for a Specific Gallery Upload

Even if you have the automatic generation setting enabled account-wide, you might occasionally want to upload a gallery without generating descriptions and tags.

  1. Begin the standard gallery Gallery creation process.
  2. Proceed to the second step where you select your Gallery Preset and Upload Options.
  3. Uncheck the Smart Scan checkbox on this screen. This will prevent Smart Scan from generating a description or tags only for the current upload batch.

Note: The Gallery's Shoot Type detection will occur automatically, regardless of the Smart Scan setting.

 

Reviewing and Editing Smart Scan Results

If you upload a gallery with Smart Scan enabled:

  • On the very first time using Smart Scan, a window will appear providing you with information regarding the service and allowing you to review the Gallery name, Description, Shoot Type, and tags generated.

  • For future uses of Smart Scan, a temporary green confirmation message will appear briefly on your screen. Clicking on this will open the same window as referenced above, for you to review.

  • Once the Smart Scan processing is finished, you will receive a notification that will be added to your Notification Bell icon (usually located in the top navigation bar). Clicking on this will open the same window as referenced above, for you to review.

  • At any time, you can also see and edit Smart Scan's generated suggestions:
    1. Navigate to the newly uploaded Gallery, and click the More button, next to "add media".
    2. Select Edit Gallery Info.
    3. In the Edit Gallery Info screen, you can review, modify, or remove the automatically generated Gallery Description and Gallery Tags. (You can also review/change the detected Shoot Type here).

Reviewing Image-Level Tags

Smart Scan also adds relevant tags to individual images (if description/tag generation is enabled). To review or edit these:

  1. Navigate into the desired Gallery, and hover your mouse pointer over the image you want to check. Click the kebab menu (three vertical dots) on the image thumbnail.
  2. Select Edit Media Details.
  3. Scroll down to the Tags section to view and modify the automatically added tags.

Important Note on Gallery Privacy

Using Smart Scan to add tags does not override your main gallery privacy and search settings. If you have set a gallery to be password-protected or not discoverable via search, it will remain that way regardless of the tags added by Smart Scan. You must change the gallery's main visibility settings if you want it to be searchable.

Smart Scan is designed to be a helpful assistant, automating the metadata and Shoot Type selection process while still giving you complete control over the final details associated with your valuable work.
