Folder Registration is a flexible tool for setting up a registration gateway at the Folder level. It not only collects contact information from potential clients but also allows you to control post-registration actions, especially with a Custom Form. This is useful for gathering information for events or client details before a photo shoot, enabling you to display a custom message instead of granting immediate access. Advanced Registrant Handling features support workflows like creating individual galleries for each registrant, ideal for high-volume photographers.
When enabled, registration is required to view the Folder. However, if a visitor has a direct link to a specific gallery within the Folder, they can view it without completing the Folder Registration, unless that gallery has its own registration requirement. |
When is Registration NOT Required?
- If the visitor is already logged in to their Zenfolio client account and they have previously registered for that specific Folder (and registration was mandatory at the time), they will not be asked to register again.
- If registration for the Folder is set to optional and the visitor chooses to skip.
- If the visitor is the photographer (account owner) and is logged in, they will not see the registration screen.
Turning on Folder Registration
- In the Galleries section of your account Dashboard, select an existing Folder, or you can create a new one.
- In the selected Folder, click on Settings. This will take you to the Folder Settings.
- Click on the Folder Access tab from the left-hand side menu.
- Turn ON the Folder Registration option.
Choosing a Registration Method:
Select the type of registration form you'd like to use for the Folder:

Email only:
- This method will only require visitors to enter their email address.
- Optional Checkbox (Make Registration Optional): Once registration is toggled on, you will see an option to Make Registration Optional. Check this box if you want to give visitors the choice to register or skip. If unchecked, registration will be mandatory.

Custom Form:
- This method allows for more detailed information collection.
- Optional Checkbox (Make Registration Optional): Once registration is toggled on, you will see an option to Make Registration Optional. Check this box if you want to give visitors the choice to register or skip. If unchecked, registration will be mandatory.
Editing the Custom Form
When you've selected to use the Custom Form option, use the Edit Form button to edit the custom form.

Custom Form Title and Instructions:
- Registration Title: By default, the form title will take on the same title as the Folder. If you'd like to create a custom form title, check the Use a Custom Form Title box and enter a title for the custom form. (e.g., "Client Details," "Event Sign-Up").
- Instructions: (Optional) Provide a brief message or instructions that will appear below the title on the custom registration form.

Custom Form Questions (Form Fields):
- First Name: Choose if this field is Optional or Required.
- Last Name: Choose if this field is Optional or Required.
- Email Address: This field is always included.
- Phone Number: Choose if this field is Optional or Required.
- +Add Custom Field: You can add up to 5 custom fields that can be Text based, Dropdown options, or a Date selector. For each, enter your question, dropdown selections, or title for the date selector and choose if it's Optional or Required.
- Submit Button Label: Customize the text for the button visitors click to submit their registration (e.g., "Register," "View Photos," "Proceed").

Submit Behavior: This setting determines what happens immediately after a visitor successfully submits the registration form (if registration is mandatory, or if it's optional and they choose to register).
- Access the Folder: The visitor is taken directly into the Folder.
- Redirect to a Custom URL: The visitor is redirected to a specific Page on your website, or any URL you provide.
- Show Message: The visitor sees a custom message you define.

Skip Behavior (if form is optional): This setting applies only if you have checked the "Make Registration Optional" box. It determines what happens if a visitor chooses to skip the registration.
- Access the Folder: The visitor is taken directly into the Folder without registering.
- Redirect to a Custom URL: The visitor is redirected to a specific Page on your website, or any URL you provide if they skip.
- Show Message: The visitor sees a custom message you define (e.g., "You can register later to save your favorites.").

Registrant Assignment Options: Registrants will be added as visitors. The options are:
- Add registrants to this folder: Anyone who registers using the Custom Form will be added to the current Folder's contact table.
- Add registrant to an existing gallery or folder: This option is only available if "Submit Behavior" is not set to "Access the Folder." It adds the registrant (from the Custom Form) to an existing targeted Folder or Gallery.
- Automatically create a new gallery for each registrant: This option is not available if "Submit Behavior" is set to "Access the Folder." When you select this, you can choose the Gallery Preset that will be used for the new galleries created for Custom Form registrants. You can also set the gallery titles to be either the registrant's email or their First and Last Name (this requires the First Name and Last Name fields to be enabled and required in the Custom Form questions). This process also adds the registrant's contact information to their newly created gallery.
- Once you've made your selections, you can use the Back to Folder Settings button at the top of the page.
Charging A Registration/Access Fee
- Select an existing Folder, or you can create a new one.
- In the selected Folder, click on Settings. This will take you to the Folder Settings.
- Click on the Folder Access tab from the left-hand side menu.
- Turn ON the Folder Registration option, if not already enabled.
- Check the Enable Registration/Access Fee box.
- Set the Access Fee Amount you want to charge.
Editing Additional Registration/Access Fee Details
By clicking on the Edit Details button, you will have the ability to customize the Title, Description, and Confirmation Message associated to the Registration/Access Fee.
What Will Your Folder Visitors See?
Registration Only
When Folder Registration is enabled, your visitors will have the choice to either provide only their email address for access or to complete a custom form that you have chosen for them to gain access.
In the event that you have made either of these options optional, a Skip button will be made available.
Registration with Access Fee
Upon enabling Folder Registration with the option to collect an Access Fee, visitors are required to initially provide their email address or complete a custom form. Once they have submitted the necessary registration information, they will proceed to the payment process. Payments will be processed through the payment processing methods configured for your account.
If a visitor has already completed their payment, they may use the "already paid?" option to verify their registration and payment in order to gain access.
Viewing Collected Registration Information
You can view the collected registration information in the Folder Contacts table for that specific Folder. If you used the "Custom Form" with "Registrant Handling" options to add registrants to a different gallery/folder or to create new galleries, the contact information would also be found in those respective locations.
What if registration is required on a Folder that already requires a password or Zenfolio login?
Password-Protected Folder: If a Folder is password-protected and has Folder Registration enabled (and mandatory), visitors must first enter the password. After successfully entering the password, they will then be presented with the registration form. If registration is optional, they'll see the form with the skip option after password entry.
Zenfolio Client Account Login: If a visitor is already logged into their Zenfolio client account, and registration for the Folder is enabled and mandatory, the system will check if they have previously registered for this specific Folder. If they have, they will not be asked to register again. If they have not, they will be presented with the registration form. If registration is optional, they will see the form with the skip option (unless already registered). |
